The Basics

To make the most of your event, make sure to inform Alpha Phi Foundation of your chapter’s planned philanthropy events at least 6 – 8 weeks ahead of time, take advantage of GiveSmart’s fundraising and event management technology, and share your chapter’s successes and lessons learned following your event.

Reminder, in order for your Chapter to qualify for Foundation awards during Leadership Conference, you must officially register your event(s) and complete an event summary for each event.

  • Post-Event Summary Form

    Chapters should submit the Event Summary Form for each individual philanthropy they hold that benefits Alpha Phi Foundation. Your responses will help the Foundation better assist chapters in their philanthropic endeavors. This is an opportunity to share your successes, lessons learned, and best practices with others. As you complete the Event Summary Form, we encourage you to use this opportunity to do the following:

    1. Report your philanthropy outcomes to the Foundation
    2. Share success & challenges
    3. Qualify for Alpha Phi Foundation Excellence in Philanthropy awards

    If your event received official approval for a Community Contributions & Chapter Fund Designation, the Event Summary Form must be submitted to request for disbursement of funds to the approved beneficiary.

  • GiveSmart Guide

    GiveSmart is a fundraising technology that provides your chapter with customizable event sites, a ticketing and registration platform, real-time data on your fundraising efforts, text-to-donate features, and so much more!     Chapters must use GiveSmart in order to qualify for a Foundation Fundraising Award.

  • GiveSmart Disbursement

    Now that your GiveSmart event date has passed, you’re ready to close out your event. Before you request disbursement though, you’ll want to make sure you’ve done the following:

    1. Collect all outstanding balances — If you have unpaid pledges or donations, please contact your donors with unpaid balances to collect funds or you may delete the gifts.
    2. Close your event — You need to toggle your event site from Live to Hidden. Once your event site is hidden, donations can no longer be accepted through your event page. To close your event, access your campaign site. Select View Admin > Settings > Global > Scroll down to Advanced Settings > Site > Visible to Users > Toggle to Hide > Save.

Submitting Donations

As a best practice, all event donations should be received by Alpha Phi Foundation within 30 days of the philanthropy event. Use the resources below to learn how to submit donations of all kinds, safely collect online donations outside of GiveSmart, and more.

Foundation Tax Information

For individuals and companies who request information about Alpha Phi Foundation, like the mission, contact information, EIN/Tax ID, or W-9, we encourage you to share this Nonprofit Status Letter with them.


Community Contributions & Chapter Fund Designation Program

Alpha Phi Foundation’s Community Contributions & Chapter Fund Designation Program allows Alpha Phi chapters to request that a portion of their event proceeds go directly toward a specific Foundation program, chapter-specific fund, or local 501(c)(3) organization with a shared focus in heart health. Please review Community Contribution Program policies and terms of the agreement before completing the Community Contribution request form.
